Overview

Our Executive Assistant functions as an Office Manager for our busy Federal Field and Executive office while providing exemplary executive support to the leadership team. 

Responsibilities

Office Management

  • Manage continuous incoming calls and walk-in customer traffic
  • Handle incoming mail disbursement
  • Prepare outgoing mail – US, UPS, FedEx
  • Oversee all administrative aspects of employee badging with the compliance officer
  • Ensure operation of office equipment (preventative maintenance requirements, troubleshoot malfunctions, call for repairs)
  • Maintain office inventory (office, kitchen supplies, monitor office repairs, coordinate with property management)

 Executive Assistant

  • Respond promptly to leadership requests including reporting, meeting coordinating, and travel needs
  • Coordinate and facilitate office meetings – onsite and remote
  • Draft correspondence and facilitate internal communication

Qualifications

  • BS Business Administration or equivalent experience
  • 5 years’ proven experience providing administrative support to executive leadership
  • This position is an office position that requires sitting at a desk for multiple hours throughout the work day.
  • Ability to work in fast pace environment with competing priorities
  • Ability to think proactively, prioritize work, and anticipate the needs of the leadership team
  • Must exercise discretion and confidentiality with sensitive company information
  • Excellent written and verbal communication skills, over the phone and in-person
